3.2 EMS Community Engagement Manager

As of 2024, the role of the Community Engagement Manager (CEM) replaces the former Publicity Officer. The primary responsibility of the CEM is to manage and enhance EMS communications with its communities of interest. This includes both external communications (with EMS members and the broader mathematical community) and internal communications within EMS (particularly among various committees, with special emphasis on the Executive Committee). A long-term goal of the CEM is to increase EMS membership.

Responsibilities

Online presence and digital communications
  • Manage and update EMS social media channels (Facebook, LinkedIn, X, Bluesky, Mastodon) and the EMS website, particularly the news section.
  • Manage other relevant social media accounts (i.e. EMS Press and the EMS Committee for Mathematical Outreach and Engagement accounts).
  • Ensure that the EMS website maintains high quality, representing the organization’s online presence effectively and serving as a valuable resource for individuals interested in EMS initiatives.
  • Maintain and update the EMS Job Hub (hosted on the EMS website) and the PopMath portal.
Good Grants platform management

The CEM is the main system administrator of Good Grants, the platform used by EMS to manage calls for applications and nominations. This role includes:

  • Collaborating with EMS committees to:
    • Develop, update, and improve application forms based on committee needs.
    • Define an appropriate review process through Good Grants to meet committee requirements.
  • Providing technical support to committees and applicants in using Good Grants.
Membership communication and strategic outreach

The CEM is responsible for developing initiatives to ensure regular communication with EMS members, enhancing the value of EMS membership and effectively promoting its activities. This also includes, when necessary, maintaining and expanding communication with other strategic organizations aligned with EMS objectives.

Society meetings (Executive Committee, Presidents, Council)

The CEM is a permanent guest of the EC and is expected generally to attend such meetings. They are responsible for ensuring that group photos are taken at these occasions, circulating such photos, and maintaining the photo collection.

The CEM is also expected to produce a report of Council and Executive Committee Meetings (major meeting, typically biannual, not including shorter ad hoc meetings) for the EMS Magazine (this can be thought of as an extract from the minutes, with some added flavour).

Regular physical publicity

Flyers, posters, copies of the EMS Magazine should be present at all EMS sponsored (or endorsed) meetings. In most cases the CEM arranges this by sending the organiser materials by post. Where appropriate (for example for EMS Summer Schools), the CEM should also email organisers the EMS logos (for their own publicity) and the EMS PowerPoint Presentation (and/or pdf) presentation in the expectation that it will be shown during the meeting (it takes ≤5 minutes and does not require any specialist knowledge).

It is also desirable that the EMS has a presence at other major mathematical meetings, including ICM and ICIAM. Usually this will be done jointly with EMS Press.

It is the job of the CEM (in consultation with the President or whole Executive Committee) to revise, create, update, reprint all the publicity materials just mentioned, as the need arises.
